Our Process

Hoopes Events was founded on the notion that a wedding celebration is one of life’s most fundamental and fleeting opportunities for personal self-expression. So it makes perfect sense that we approach every event by being approachable. That means we first try to get to know the wedding couple and listen to their personal vision for their special day. Then we help transform that vision into splendid reality through collaboration, creativity and a practiced eye gained through years of experience in planning, design, and décor.
 
Our team of designers and planners are experts at capturing the essence of a client’s vision and ideas, and transforming them into authentic designs and fabulous details. Here’s a quick look at how it works:     


Step 1: Initial Consultation:

Each prospective client receives a free consult with one of our planners or designers. During these consultations, we work to determine the look and feel of your event, planning and/or decorating ideas, along with other details that will make your event unique, and still work within your budget.
 

Step 2: Quote and Contract:

Following our consultation, your designer will email a price estimate and contract for our services. Your designer will be available via email and/or phone to answer any questions, make any changes, or make suggestions. If you choose to work with us, we require a 50% deposit to secure your date.
 

Step 3: 8-week event planning timeline:

From eight weeks out until the big day, we work with you to create a timeline for your event. Depending on where we start in relation to the event, we put a series of events in motion that ensure everything will be in perfect order on Day 0.

These include:
  • Week 8: Floor layout, fabric and color confirmation. Possible rental items.
  • Week 4: An assigned production team who will be responsible for the execution of your event. Each team includes a production coordinator. 
  • Week 1: Your designer and/or your event set-up coordinator will confirm the logistics of your event.
  • Day 0: Our team will show up with plenty of time to spare, and create your event, as planned.
